Executive Assistant (EA) – Full Time

The Executive Assistantʻs primary kuleana is to support and assist the Executive Director as needed, which often means helping with a wide array of tasks, and supporting other staff who need it most on any given day.  

Kuleana:

  • Assist the Executive Director with administrative tasks as needed, including:
    • Communication/Coordination – i.e. Drafting/sending correspondence via email, text message, etc. to partners, funders and staff on behalf of the ED
    • Organization/Filing – i.e. Documenting and tracking status of own and EDʻs tasks and key correspondence (using Asana task management software)
    • Manage and oversee various google calendars
    • Assist with budgets, spreadsheets, and google form surveys
    • Primary runner during events, video shoots, livestreams, etc.
    • Assist team alakaʻi (program, audio, video and social media) as needed

Minimum / Preferred Qualifications:

Minimum Qualifications:

  • BA Degree and/or 2-5+ years experience as executive assistant or in office administration
  • Highly organized and able to quickly prioritize tasks
  • Detail-oriented and able to handle multiple tasks simultaneously
  • Strong listening, writing and verbal communication skills
  • Excellent people skills – able to work with a wide range of people
  • Strong desire to work with Hawaiian community in a Hawaiian cultural context
  • Highly proficient in Microsoft Word, Excel, PowerPoint and Google suite 

Preferred Qualifications:

  • Experience with fundraising, grant-writing, and grant reporting
  • Experience with outreach, PR and marketing
  • Proficient speaking and writing ability in Hawaiian
  • Proficient in project/task management 
  • Evening and night availability when needed
